Noodledoof Brewery and Distillery are located in the western Victorian town of Koroit, which is a short distance from Warrnambool and Port Fairy.

Job Description: Venue Manager

The award winning Noodledoof Brewery and Distillery is seeking an experienced person who will support the Directors and act as a point of contact for employees, external enquiries and provide administrative support.

Our ideal candidate is passionate about supporting superb customer experiences in hospitality and is competent in the operation of all types of technology and administrative systems. Ultimately, you should be able to ensure our administrative activities and events run smoothly on a daily and long-term basis.

Tasks and duties

Taproom Experience Development:

  • Create and maintain positive customer engagement and experience 
  • Assist with tours, tastings and product launches
  • Coordinate product displays, table arrangements and taproom layout. 
  • Maintain merchandise and taproom stock supplies, negotiating prices and ordering. This includes online and square inventory. 
  • Assist with marketing of taproom products, events and offers. Through physical, social and traditional media. 
  • Assist with product sales retail and wholesale. 

Staff Management: 

  • Administration and HR support. Organising and maintaining filing systems, managing document control.
  • Answering general queries by employees and clients.
  • Updating and implementing office policies and communicating them to the wider team.
  • Organise staff training and development 
  • Management of taproom roster and scheduling appointments 
  • Develop, communicate and maintain individual, team and taproom/events calendars. 
  • Communicate to staff upcoming events

Systems and Administration Management:

  • Maintaining and updating company databases. Including Square, google drive and squarespace. 
  • Create, maintain and utilise customer databases/membership for retail and wholesale purposes. 
  • Preparing and formatting documents, reports and presentations. 
  • Assist with the management of financial documentation and preparing regular financial and administrative reports.
  • Printing and photocopying.
  • Arrange travel and accommodation

Event and Function Management: 

  • Act as the first point of contact for people requesting events at Noodledoof Brewing Co. 
  • Understand requirements for each event (weddings, Christmas parties, community events and music gigs) 
  • Plan event with attention to financial and time constraints
  • Manage bookings and schedule relevant participants (musicians, community groups etc.)
  • Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost
  • Negotiate with vendors to achieve the most favourable terms
  • Manage all event operations, including but not limited to preparing the venue, invitations and marketing.   
  • Do final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards
  • Oversee events and act quickly to resolve problems
  • Evaluate event’s success and submit reports.

External Sales Support:

  • Assist with stocktake and sales tracking 
  • Assist with logistics and order management 
  • Customer relations

Essential requirements:

  • Proven work experience as an Administrative Officer, Supervisor or Manager, Events Coordinator or similar role
  • Solid knowledge of office procedures
  • Experience with office management and marketing software like MS Office (MS Excel and MS Word, Email etc.), financial systems (Xero), website and social media management, Eventbrite. 
  • Strong organization skills with a problem-solving attitude
  • Excellent written and verbal communication skills and negotiation ability
  • Attention to detail
  • Well-organized with the ability to multitask
